    Title: Administrative Secretary/Superintendent/Board

    Responsible to: Superintendent of Schools

    Qualifications:

    1. High School Diploma

    2. Five years job experience as a secretary; preferably as a school secretary

    Job Goals: To complete the detail and written work and to coordinate other matters essential to the efficiency and effectiveness of the Superintendent and Board of

    Education. Maintain Single Record Student Database (MSDS), Registry of Education Personnel (REP), Teacher Student Data Link (TSDL), Graduation/Dropout Rate (GAD), Student Infrastructure Database (SID) Educational Entity Master (EEM) and other information input to the Center of Education Performance and Information (CEPI).

    Performance Responsibilities:

    1. Takes and transcribes dictation of various types, including correspondence, reports, notices and recommendations.

    2. Obtains, gathers and organizes pertinent data needed, and puts it into usable form.

    3. Maintains all personnel records for administrative, teacher and support staff.

    4. Maintains a systematic and secure filing system and processes incoming correspondence as instructed.

    5. Maintains a schedule of appointments and makes arrangements for conferences and interviews. Places and receives telephone calls and records messages.

    6. Orders and maintains supplies as needed.

    7. Performs any bookkeeping tasks associated with the specific position.

    8. Coordinates and maintains all valid teacher certification functions for both local school district and the intermediate school district.

    9. Attends regular and special board meetings and keeps full and accurate minutes of all meetings of the board.

    1 0. Assists in the preparation of board agendas and board packets.

    11. Handles conference/meeting reservations and out-of-town accommodations for Superintendent and/or Board of Education members.

    12. Maintains and keeps Board Policy manual current.

    13. Greets visitors courteously, determines their needs and directs or escorts them to the proper person.

    14. Gathers and compiles data and prepares various reports required by federal and state agencies.

    15. Any other duties or responsibilities which may be assigned by the Superintendent or Board of Education.

     

    TERMS OF EMPLOYMENT: Twelve-month year.

    EVALUATION: Performance of this job will be evaluated in accordance with Provisions of the Board's policy.
